Title:  Interdepartmental Administrative Specialist I       


Department:  Administration, Accounting and Finance


Salary: $48,048 to $72,072


Reports To:  Office Manager

GENERAL PURPOSE


This entry-level position provides comprehensive administrative support for all three CWRPDA Departments to ensure smooth and efficient operation of the organization.  This entry-level position will primarily work in the Administration department, with additional work in both the Accounting and Finance departments during busy periods of the year and when either department is short-staffed.  The estimated time in each department is 60-70 percent Administration, 15-20 percent Accounting, and 15-20 percent Finance. 


WORK ACTIVITIES


 

A. Pull and file electronic records for all departments.

B. Provide support and coverage for the Record Systems Clerk and Office Manager.

C. Scan older paper files to create an electronic file.

D. Occasionally place orders for office supplies, order staff lunches and similar.

E. Draft and review meeting minutes and other documents for grammar, spelling and punctuation.

F. Assist with Board meeting preparation including agendas, board packets, room setup, travel and related activities.

G.Assist with pre and post Board meeting activities.

H. Assist with distribution of annual reports and bond documents.

I. Update Excel based accounting ledgers and spreadsheets.

J. Setup checklist folders for post closing loan reviews.

K. Process project fund requisitions. 

L. Assist with updating data files and various annual form letters.

M. Search for, download and save borrower annual financial statements and audits.

N.Update several loan databases as needed.

O. Review and check final loan origination folders for all necessary documents.

P. Data entry as needed.

Q. Other administrative duties as assigned.

JOB QUALIFICATIONS


Knowledge Skills and Ability:


1. Basic knowledge of Microsoft operating system.  Familiar with electronic formats including Word, Excel, PDF and similar.


2. Ability to take instruction then work independently to accomplish tasks.


3. Task organization and prioritization skills are required.


4. Detail-oriented with an ability to perform complicated tasks accurately.


5. Strong work ethic.  Ability to problem solve.


6. Good communication skills and ability to work tactfully and professionally with co-workers, and occasionally customers.


Education:


High school diploma required.



Professional Experience:


Previous employment experience is preferred. 


Previous experience in a business-related, office environment is also preferred.



Working Environment:


Typical office station with personal computer, scanner, printer and electronic filing system, plus several database software systems.  Internet access.


Microsoft Office, Excel, Adobe Acrobat, Laserfiche, and several other software programs.


Physical Demands: 


Alternate periods of sitting and standing throughout an 8-hour shift.  This may include extended standing time while scanning, copying and/or sorting and storing items from a grocery or office supply order.  This also includes extended sitting time while completing administrative (data processing) work or sitting through an Authority Board meeting or other designated company functions.  Time spent between utilizing a computer or similar may exceed 4 hours of continuous sitting. 


Frequently lifting one pound or less and occasionally lifting 5 pounds per day.  Lifts up to 15 pounds occasionally during the week.  This can include lifting cases of bottled water, bags of groceries, large packages, filing/storage boxes and boxes of paper or envelopes.  Assistance is available when needed.


Periods of walking are required to meet with work colleagues within the office, assist with various tasks and meetings. At times, this walking could encompass several hours of an 8-hour shift.   


Essential functions of the job also include seeing, hearing, speaking and fine manual dexterity skills.
